Subject: COVID-19 Response \ Business Continuity Plan

 

To Our Clients & Partners,
In response to COVID-19 the ownership, management and staff of The Lorrnel Group
would like to update you on the measures we are taking to protect our ourselves, our
families and those around us in our personal and professional communities.

It is imperative that we rely upon facts, consult subject matters experts and gather
resources from reputable sources to make an effective plan. Those sources of
information and guidance have been the World Health Organization (WHO, Health
Canada, Alberta Health Services (AHS) and the City of Calgary. We continue to monitor
these agencies frequently in order to respond to critical updates as they are made
available.

Our COVID19 Response \ Business Continuity Plan has been initiated. Our staff have
been on-boarded to this plan and are committed to ensuring compliance. While our offices
remain open, given that we are within the guidelines set forth by the emergency response
agencies and authorities, our staff and management have been encouraged to work from
home whenever possible and have the necessary tools and connectivity to do so
effectively.

Key elements of our plan include, but are not limited to:

 

 

Workplace Health & Safety
o regular hand washing and sanitization;
building and workstation cleaning with viral disinfectants;
social distancing of 6ft (~2m) and avoidance of mass gatherings >50ppl;
14day self-isolation for those returning from travel, exposed to travelers or
exhibiting signs \ symptoms of any illness.

 

Remote Access & Communications
all staff are equipped with the necessary hardware, software and VPN
access to work remotely from home as required;
project collaboration and client communication will be achieved through a
variety of means ranging from:

 Office Phones & Cellular Phones
 Email
 Instant Messaging
 Audio \ Video Conferencing
 Project Management \ Collaboration Software (Teamworks)

Meetings & Conferences
Weekly “All-Staff” video conferences are being held with ownership,
management and the entire staff to ensure alignment with response plans
and actions;
Daily “Stand-Up’ meetings are Managers with each team to ensure daily
objectives and critical tasks are being met effectively;
Work related travel to meetings and conferences is not permitted;
We are asking all clients to respect our requests for virtual meetings during
this time for the safety of both offices and staff;
Onsite meetings will observe workplace cleanliness and social distancing
protocols at all times, should remote communications not be possible;

 

 

Field Work
Where possible, travel for field work purposes will see individual vehicles
taken so as to maintain social distance;
Vehicles will be cleaned thoroughly before and after use with disinfectant;
Field staff will always adhere to risk management protocols provided by the
client , meeting or exceeding expectations.

 

The Lorrnel Group is committed to engaging with our staff and clients on a regular basis
as the global pandemic evolves. The critical role we all play in stopping the spread of this
virus cannot be understated and only through diligence and deliberate practice can we
get through this together.
